Human Resources Associate - Fairfax, VA

The Human Resources Associate is an HR generalist who supports Coptic Orphans' management and employees, ensuring that the entire organization has access to the highest-quality HR services and programs. Working from Coptic Orphans' headquarters in Fairfax, VA, the HR Associate's major responsibilities include recruiting, staffing, compensation and benefits administration, labor relations, and other general HR support.

Essential Functions and Responsibilities:

Job Posting & Recruitment:

  1. Lead efforts to post, promote, and advertise job openings to ensure a sufficient pool of qualified candidates.

  2. Improve   efficiency of recruitment efforts through research on new, creative approaches to advertising and better ways of using existing channels. 

  3. Screen applications in order to recommend candidates who best fit position requirements, while meticulously updating recruitment notes on the HR record-keeping system. 

  4. Screen candidates over the phone, and participate in face-to-face interviews as directed.  

  5. Complete reference checks for selected candidates.  

  6. Carry out hiring process (system and documentation) to ensure compliance with legal requirements of the various countries in which Coptic Orphans has staff.  

  7. Conduct, or participate in, new employees' HR orientation.

  8. Serve as first line of support for new employees as they become part of Coptic Orphans.

General HR Responsibilities:

  1. Ensure effective benefits administration by supporting employees and answering their questions.  

  2. Serve as the expert on the organization's benefits plans.   

  3. Research new benefits and/or benefits providers.

  4. Assist with developing and updating position descriptions.  

  5. Conduct needs assessments for employee training & development; help develop training plans. 

  6. Carry out employee satisfaction surveys.

  7. Participate in exit interviews.  

  8. Ensure compliance with all legal and organizational requirements in recruitment, hiring, and salary administration. 

  9. Maintain employee files, ensuring they are complete and up-to-date, and observing record retention laws. 

  10. Update HR system and records, running reports as necessary. 

  11. Participate in HR projects, such as system conversion, position grade system, salary surveys, and range structure.  

  12. Plan, communicate, monitor, and carry out annual performance appraisal process for all country offices, including monitoring employees' goal-setting process. 

Processes Management and Compliance

  1. Develop, maintain and communicate data analytics to evaluate processes and recommend improvements.

  2. Working with management and other countries HR personnel, ensure compliance with all legal, governmental, and organizational regulations and policies; such as Equal Opportunity Employment compliance; pay and compensation regulations, OSHA, various countries labor laws, etc., in addition to organizational policies.

  3. Establish, maintain and update Human Resources policies, process and procedures as well as the recruitment processes to be followed consistently. Maintain and update employee handbook, HR manual, and other policies pertaining to HR.  

Required Education, Experience, Knowledge and Skills:

  1. BA required.  HR-related study is a plus and will be highly regarded. 

  2. A minimum of 3 years of professional HR experience.   

  3. Outstanding interpersonal skills, high integrity, and demonstrated discretion.  

  4. Excellent communications and negotiations skills. 

  5. Strong organization skills, including meticulousness and ability to multi-task.  

  6. Excellent spoken/written English and Arabic.  

  7. Exposure to Coptic culture is a plus. 

  8. Extent of Public Contact (within and outside the organization)

Extent of Public Contact (within and outside the organization):

The HR Associate is the point of contact for candidates and speaks with employment agencies and recruiters on behalf of Coptic Orphans. Thus, s/he must fully understand the mission and work of Coptic Orphans.

Working Conditions and Enviornment:

Must be available, as work requires, during some off hours as an exempt position; some weekends and/or evenings as needed.
